They are seeking an organised and proactive Office Administrator to support their Tokyo operations.
Role Overview
We are seeking a highly organised Office Administrator to join our client’s dynamic Tokyo team. This role is central to ensuring smooth day-to-day office operations, supporting senior management, coordinating logistics, and fostering an efficient and welcoming working environment. It is well suited to someone with strong OA/EA experience who enjoys being the go-to person in a busy international office.
Responsibilities:
Administrative & Team Support
* Handle general office administration, documentation, scheduling support, basic expense processing, and team requests.
Office Operations
* Oversee upkeep of shared spaces, prepare meeting rooms, maintain office supplies, and coordinate with external vendors and building services.
New Joiner Support
* Assist with onboarding and offboarding processes, including document coordination, desk setup, and internal introductions.
Travel & Logistics
* Support domestic and international travel arrangements, hotel bookings, and related logistics for employees and senior team members.
Visitor & Meeting Coordination
* Welcome guests, prepare meeting room arrangements, and support internal workshops, team events, and occasional offsite activities.
Executive Assistance (Light Support)
* Provide basic administrative support to senior leaders, including calendar coordination and preparation of simple materials when required.
Requirements:
* 2+ years of experience in office administration or EA/OA support; experience in a multinational environment is advantageous.
* Strong organisational skills and the ability to manage multiple tasks simultaneously.
* Proficiency in Microsoft Office (Word, Excel, PowerPoint).
* Fluency in Japanese and English, both written and spoken.
* Need to currently have Full working rights in Japan.
* A proactive, calm, and service-minded approach to supporting a busy team.
* Ability to take initiative, solve problems quickly, and work effectively both independently and collaboratively.
