Excellent opportunity to join a highly regarded and experienced team as Subcontracts Delivery Manager predominantly on a major HVDC project in Germany as the project moves to execution phase.
The main function of this role is to engage in proactive commercial management and administration of all subcontracts for civil and installation (and smaller subcontracts / supply contracts to the extent needed) from subcontract signature until completion of subcontract works.
You will be responsible for the various HVDC subcontracts from a commercial perspective, working in collaboration with the Contracts Manager, Project Construction Manager and other relevant departments including engineering, construction and project management.
This is a full time, staff role based 5 days a week on site in Northern Germany.
Role:
- Participate in tender evaluation meetings for each subcontract, to obtain understanding of the scope and provide comments /feedback.
- Assist with any queries during procurement of subcontracts on detailing scope of work.
- Participate in every subcontract handover meeting to allow takeover of the subcontracts and to ensure full understanding of the subcontract’s scope of works, terms & conditions and respective costing, using this as starting point for managing each subcontract.
- Prepare subcontract specific management tools, agenda and reporting.
- Organize and conduct site subcontract specific kick off meetings with each subcontractor and the energy project team.
- Receive subcontract reports as per Subcontract requirements and distribute to the project team.
- Manage Non-Conformity Reports (NCR) from / to subcontractors and analyze variation order requests.
- Receive, analyze and process any Internal Change Orders for Subcontracts, for example site changes.
- Perform the roles and responsibilities of the QS as per the QS Job Description, where a QS is not assigned.
- Manage the Subcontract payment process and report costs related to claims, non-conformances, costs of poor quality (COPQ), change orders and any other non-budgeted site costs.
- Monitor and report Subcontractor specific progress, performance, risks and opportunities.
- Prepare, compile monthly reports and Key Performance Indicators (KPI) for all ongoing Subcontracts.
- Conduct all activities in accordance with HVDC’s Code of Ethics and HE company guidelines.
- Ensure site purchasing process is in place and followed.
- Co-operate with any relevant auditing activities performed on site.
- Identify the recoverable non-budgeted costs, initiate, support and ensure the cost recovery from other parties, if possible
- Verify that all Subcontract payments (progress- and/or milestones-) are properly certified, documented and reported in line with Subcontract requirements.
- Ensure adequate and timely communication within site and project as well as to the delegating line organization.
- Attend weekly meetings consisting of internal construction / site procurement meetings and design progress meetings (where applicable).
- In conjunction with Contract Manager, execute and formalize the closeout.
- Follow company Health, Safety and Environment (HSE) policies.
- Comply with company, country, and project quality standards.
Requirements:
- Bachelor’s degree or equivalent in a commercially related field, ideally chartered or working towards chartership.
- Substantial experience in subcontract management experience, this includes commercial, contractual and construction awareness.
- Experience of successfully coordinating and managing multiple subcontracts / tasks effectively.
- Proficient with standard form and bespoke contracts.
- Proficiency in MS Office 365 applications including Word, Excel, PowerPoint, Teams, SharePoint and Outlook.
- Exceptional communication skills and be able to communicate to multiple levels within a company.
- Strong problem-solving skills and ability to work cross functionally as a critical member of a project team.
- Proactive, creative and analytic approach to continuous improvement in procuring subcontracts.
- Demonstrate a high degree of independence, requiring minimal supervision from senior management.
- Proven knowledge and ability to identify risks and mitigate those risks.
