Document Controller

Document Controller required for a major carbon capture storage project based in the Netherlands

Responsibilities

  • Document Management: Maintains a comprehensive system for organizing, storing, and retrieving documentation, including technical drawings, specifications, reports, and correspondence.
  • Revision management: Ensures that all documentation is up-to-date and accurately provided with revision numbers, revision data, and other relevant metadata.
  • Distribution: Facilitates the timely distribution of documentation to project teams and external organizations.
  • Access Control: Implements and maintains access controls to protect sensitive documentation and ensure that only authorized personnel can view or modify it.
  • Quality Assurance: Conducts regular quality checks on documentation to verify accuracy, completeness, and adherence to established standards and procedures.
  • Coordination: Works with project managers, engineers, and other stakeholders to coordinate workflows and resolve any discrepancies.
  • Archiving: Maintains an efficient archiving system for storing historical documents and data in accordance with retention policies and regulatory requirements.
  • Training: Provides training and support to project team members and external organizations on document management processes, systems, and best practices.
  • Handover: Facilitates the smooth transition of project documentation during the handover process, ensuring that all relevant documentation is appropriately organized and transferred in accordance with the established requirements.

Requirements

  • Minimum HBO level of thinking and working.
  • Proven experience as a Document Controller in the gas or oil industry, with a strong knowledge of industry-specific documentation requirements and standards.
  • Proficiency in document management software and tools, such as SharePoint or similar systems.
  • Excellent organizational skills and attention to detail, with the ability to effectively manage multiple tasks and priorities.
  • Strong communication and interpersonal skills, with the ability to work effectively with teams from a variety of disciplines.
  • Knowledge of relevant regulations and standards, such as ISO 9001, API standards or local legal requirements, is an advantage.
  • Excellent mass processing capabilities, making it possible to work with large amounts of documentation and metadata.
